Receipts at the register

Printing, reprinting, and recovering receipts at the register: the Printer menu, receipt and tender-line content, gift receipts, drawer behavior, and what to do when the printer fails.

This page covers receipts from the cashier's side of the counter: how a receipt prints when a sale completes, what appears on it, how to reprint or recover one, and what to do when the printer does not respond. Printer hardware, transports, and destination configuration are administrator topics - see Printers and hardware setup.

Printing a receipt

When your administrator has turned on Auto Print Receipt, the receipt prints automatically the moment a sale completes - on a silent thermal setup there is no dialog to click through. If auto print is off, or your terminal uses the browser transport, the receipt prints through the browser's print dialog instead.

Every receipt is built from an immutable snapshot frozen at the moment the sale completes. That means a reprint minutes or days later shows exactly what the customer saw at the counter, even if prices, taxes, or printer settings changed in the meantime.

The Printer menu

The status-bar Printer button on the register opens a four-option menu:

  1. Connect Receipt Printer - one-time pairing for a USB receipt printer. You pick the printer in a browser dialog once; after that, receipts print silently. See Printers and hardware setup for pairing requirements.
  2. Process Print Queue - manually delivers any receipt or kitchen jobs waiting for this till. Use it whenever an expected printout did not appear.
  3. Recover Last Receipt - re-delivers the most recent receipt job, for example after a paper jam or a disconnected cable.
  4. Reprint Last Kitchen Output - recreates the kitchen labels and tickets for the last sale. See Kitchen output.

TIP

Process Print Queue claims the same stored job rather than creating a new one, so using it after a hiccup never produces a duplicate receipt.

What is on the receipt

A standard receipt renders, top to bottom:

  • The company header (name, address, phone, tax registration) plus any custom header text your administrator configured.
  • A Return/Credit banner when the sale is a return.
  • The sale document number, store, terminal, and the customer when one is attached.
  • One block per line item: the description with the variant code in parentheses, a qty x unit price = amount line, and any per-line discount.
  • Subtotal, Tax, and a bold TOTAL.
  • A dual-pricing or cash-surcharge disclosure block when a price mode was active on the sale, and a cash-rounding disclosure when a denomination policy applied.
  • The completion timestamp and any custom footer text.

Tender lines

Receipts also print the payment detail. Each tender shows a bold method line, the signed Applied: amount, and - for cash - Tendered: and Change: amounts. Card payments print the provider name and a masked reference (**** plus the last four characters), never full card data. Split payments print one block per tender, so a sale paid half cash and half card shows both.

Gift receipts

The Gift Receipt flow reprints the last completed sale with descriptions and quantities only - no prices, totals, tax, or tender lines - plus a GIFT RECEIPT banner and the sale's document number for a later return lookup. See Gift receipts for the full flow, including back-office printing for older sales.

Loyalty on receipts

When a loyalty member is attached to the sale, the normal receipt includes the frozen earn and redemption detail for that sale. Gift receipts deliberately omit all loyalty information. See Customers and loyalty at the register.

When the printer fails

Receipts are never lost when hardware misbehaves. Every silent print request is stored as a durable job that survives failures and browser crashes:

  1. First, fix the obvious cause - paper, power, cable, or network.
  2. Tap Printer -> Process Print Queue. Waiting jobs deliver in order; if nothing is waiting you get a "No print jobs are waiting for this session" message.
  3. If the receipt still does not print, tap Printer -> Recover Last Receipt, or hand the customer a browser-printed copy and tell your supervisor.

NOTE

Supervisors and administrators can see every stored job, its failure reason, and Retry or reprint actions on the POS Print Jobs page - see Printers and hardware setup.

Cash drawer

On a compatible thermal setup the cash drawer pops automatically on qualifying cash sales and on a No-Sale drawer opening. If your drawer does not open, the transport your terminal uses may not support the drawer pulse - ask your administrator to check the destination configuration.
