Before you start
POS prerequisites
What Business Central needs before you install the POS: posting groups, a location, Sales Tax or VAT setup, payment methods with balancing accounts and users.
updated: applies-to: 1.0.0.141
Bitta Retail POS uses your existing Business Central master data for posting, tax and inventory instead of creating its own. Before you run the assisted setup, make sure Business Central has the foundation the register needs: posting groups on a customer it can copy, a location if you track stock by location, standard tax setup, payment methods with balancing accounts, and users with a baseline permission set. The setup wizard checks most of these on its Business Central Readiness step, and it never creates tax master data or G/L accounts for you.
Prerequisites
- A Business Central company where you can maintain customers, locations, tax setup and payment methods.
- The
BAA POS - Adminpermission set for the person who will run the wizard. See POS user permissions.
The readiness step of the wizard lists the same rows this page covers. Each row has an assist button that fixes the row or opens the related setup.
Posting groups on an existing customer
Walk-in sales post to a cash customer. The wizard creates the POS cash customer and maps it to a Business Central customer with the same number. When that Business Central customer does not exist yet, the wizard creates it and copies the Customer Posting Group, Gen. Bus. Posting Group and, where present, VAT Bus. Posting Group from an existing unblocked customer that already has them. It never invents a posting group combination.
Make sure at least one unblocked customer in the company has a complete, postable set of posting groups. In an empty company the Cash Customer and Posting Groups readiness rows stay at Needs attention - choose the assist button, and Finish is refused.
Items work the same way: every POS item you sell must map to a Business Central item, and End of Day refuses lines without one. The mapped items also need the setup Business Central requires to post a sales line, such as a general product posting group and, for Sales Tax, the Tax Group Code that your Tax Details use. See Item catalog setup.
Location
The store's Business Central Location decides which inventory the register reads and posts against. It is optional: leave it blank to use company-wide inventory, and the Location readiness row shows Configure later. If you track stock by location, create the location in Business Central first (in-transit locations cannot be selected).
Sales Tax area or VAT posting setup
Choose the tax method on the first step of the wizard: Sales Tax, VAT or None. US companies start with Sales Tax; other countries start with VAT. The wizard only reads tax setup. It never creates Tax Areas, Tax Details or VAT Posting Setup.
- Sales Tax. Create at least one Tax Area (with its jurisdictions and Tax Details) in Business Central. The wizard requires you to select an existing Tax Area as the Store Tax Area, and the walk-in Business Central customer must be Tax Liable. A cash customer the wizard creates for a Sales Tax company is marked Tax Liable; an existing customer's exemption is never changed automatically.
- VAT. A VAT Posting Setup row must exist for the VAT Bus. Posting Group of the walk-in Business Central customer. A blank VAT Bus. Posting Group is accepted when its VAT Posting Setup exists.
- None. No tax master data is needed.
For tax behavior at the register and on posted documents, see Sales tax and VAT.
Payment methods with balancing accounts
Per-Tender Settlement is on by default, so End of Day posts each tender's share of a sale to that tender's account. Every active monetary tender therefore needs a settlement path:
- a BC Payment Method Code whose Business Central payment method has a balancing account (a direct-posting G/L account or a bank account), or
- its own Settlement Account Type and Settlement Account No. on the tender method.
Only an On Account tender may stay open in receivables. On the readiness step, choose the Tender Settlement assist button: it creates the starter tenders CASH, CARD (for a standalone card terminal) and VOUCHER with no payment method, and the On Account tender ONACCT with an ONACCOUNT payment method that has no balancing account, then opens POS Tender Methods. The wizard never creates or guesses a G/L or bank account. Assign a payment method or settlement account to CASH, CARD and VOUCHER before you choose Finish. The Tender Settlement row shows the exact tender that still needs one.
Tender details are covered in Tender methods setup.
Users with D365 BASIC
The Bitta Retail POS permission sets cover the app's own objects and the standard sales document permissions. They rely on a baseline such as D365 BASIC for general reads of standard tables like Item, Customer and Payment Method. Give every POS user a Business Central user account with D365 BASIC (or an equivalent baseline) before you assign a Bitta Retail POS set. The User Mapping readiness row also checks whether your own Business Central user has an active POS user record; it is informational and does not block Finish. See POS users.
