POS user permissions
Give cashiers, supervisors and managers the right access: the four Bitta Retail POS permission sets, the two role centers and who should get which one.
updated: applies-to: 1.0.0.141
Bitta Retail POS separates what a person can do from what they see. Permission sets control access to the POS pages, reports and actions; the two roles (profiles) control which role center opens. This page lists the four assignable permission sets, the non-assignable entitlement set, the two roles, and a recommended assignment for cashiers, supervisors, managers and accountants.
Prerequisites
- Each person has a Business Central user with D365 BASIC or an equivalent baseline. The Bitta Retail POS sets do not grant general reads of standard tables. See POS prerequisites.
- You can assign permission sets to users in Business Central (for example as SUPER or a user administrator).
The four assignable permission sets
BAA POS - User
BAA POS - User is the cashier and terminal operator set. It covers a full sale from terminal sign-in to receipt:
- the POS Register, terminal sign-in, the cashier role center, POS sales, sale lines and the tender dialog;
- parking and resuming sales, shifts, cash movements and the X/Z report;
- integrated card and QR payment dialogs, receipts, gift receipts, kitchen tickets and labels, and pairing a USB receipt printer;
- POS customers and items, the variant picker, and read-only views of setup, tenders, profiles and loyalty;
- raising a supervisor approval and the line adjustment and cancel sale dialogs (the approval itself needs a supervisor's PIN);
- reading the POS License page.
It includes the standard D365 SALES DOC, EDIT and D365 SALES DOC, POST sets, because completing and posting a sale writes standard sales documents. It excludes setup changes, POS user and PIN administration, returns and End of Day.
BAA POS - Supervisor
BAA POS - Supervisor includes BAA POS - User and adds controlled store-floor operations:
- returns and refunds: the return sale selector, return from receipt, return lines, refund allocation and card return lookup;
- payment detail, read-only EFT Transactions with reconcile, and kitchen output reprint;
- the commerce audit and posting claims views (read-only);
- loyalty ledgers, memberships, refund recovery, manual refund confirmation and expiry runs, plus the three loyalty reports;
- financial amounts in Today at This Register on the cashier role center, where the register profile allows them.
Setup, credentials, End of Day, settlement administration, licensing and margin analysis stay with Admin.
BAA POS - Admin
BAA POS - Admin includes BAA POS - User and adds administration:
- POS Setup, the setup wizard, stores, terminals, terminal scale setup, register profiles, fulfillment methods and the effective register setup view;
- POS users and Set PIN, tender methods, terminal tender overrides, denominations and cash rounding policies;
- payment and print credentials, print destinations and print jobs, kitchen routes, categories and pricing profiles;
- returns and refunds, POS End Of Day, Daily Operations and settlement entries;
- the Bitta Retail POS Admin role center, the POS Report Center, all POS reports and the analytics pages, including POS Margin and Cost;
- loyalty program configuration, the POS License actions and the demo data guide.
End of Day is gated by this set: a run refuses to start for a user without it.
BAA POS - Full
BAA POS - Full (caption BAA POS - Full Access) includes both BAA POS - Admin and BAA POS - Supervisor and grants execute rights on every object in the app. It is meant for emergency access by administrators and support. Its data access still comes from the Admin and Supervisor sets, so it cannot bypass the app's protected tables.
The non-assignable set
BAA POS - Licensed Objects is an entitlement ceiling. It is never assigned to users; the license entitlements use it to scope the app's objects. You can ignore it when assigning access.
The two roles
| Role | Role center | For |
|---|---|---|
| Bitta Retail POS | Bitta Retail POS | Cashiers: register, shifts, parked sales, customers, receipts and catalog lookup |
| Bitta Retail POS Admin | Bitta Retail POS Admin | Managers and administrators: KPIs, attention cues, payments, hardware, accounting, setup and reporting |
A role does not grant permissions. The Bitta Retail POS Admin role center itself is part of BAA POS - Admin, so give that role only to people who hold the Admin set. Assign the role in the user's settings, or let each person pick it under My Settings.
Who gets what
| Person | Permission sets | Role |
|---|---|---|
| Cashier | BAA POS - User |
Bitta Retail POS |
| Supervisor or floor lead | BAA POS - Supervisor |
Bitta Retail POS |
| Store manager or POS administrator | BAA POS - Admin |
Bitta Retail POS Admin |
| Accountant | Standard Business Central accounting sets for posted documents; add BAA POS - Admin only if they run End of Day, settlement or POS financial reports |
Their usual accounting role, or Bitta Retail POS Admin |
| Support or emergency access | BAA POS - Full |
Bitta Retail POS Admin |
Every person in the table also needs D365 BASIC.
NOTE
Permission sets and register approvals are separate. Approving an over-limit discount, a price override or a sale cancellation at the register needs a POS user with Supervisor turned on and a PIN. Set that up on the POS user card; see Cashier PIN security.
Assign a permission set
- Open the Users page and select the person.
- In the User Permission Sets part, add the Bitta Retail POS set from the table above, next to D365 BASIC.
- Create or link the person's POS user record so they can sign in at a register. See POS users.
Which reports each set can run is listed in All POS reports.
