Administrator setup checklist

Ordered go-live checklist for Bitta Retail POS administrators: assisted setup, stores and terminals, catalog and barcodes, tenders, printing, security, and end of day, with links to each configuration reference page.

This is the ordered go-live checklist for administrators bringing Bitta Retail POS from a fresh install to a register that can complete and post a real sale. Work the steps in sequence - each one links to the reference page that covers it in depth.

Role and prerequisites

You need a Business Central administrator account with the BAA POS - Admin permission set plus the required base BC permissions (assign the POS sets alongside a baseline role such as D365 BASIC).

Before configuring the POS, have the Business Central side ready:

  • Posting groups and tax/VAT setup
  • Inventory locations
  • Customers and items (or a plan to run the POS catalog standalone at first)
  • G/L and bank accounts for tender settlement
  • A number-series policy
  • Printer and network decisions
  • Ownership of the payment-provider account if you will take integrated card payments

Run Assisted Setup first

The Setup Wizard (Assisted Setup) creates and wires the number series, can create and map the walk-in cash customer, and sets the default store and terminal. Run it before touching individual pages - it gives every later step a sensible starting point. See Install and first-run setup.

Go-live checklist

  1. Validate POS Setup. Open the POS Setup card, review every FastTab top to bottom, and run the Validate Setup action. Confirm the number series and cash customer are wired. Reference: POS Setup reference.
  2. Create the hierarchy. Create your Store with its BC Location Code, then its Terminals, then POS Users mapped to store, terminal, and BC salesperson. Reference: Stores, terminals, and users.
  3. Build the catalog. Create POS Items and Categories, and map items (and any named customers) to their Business Central masters so end-of-day posting can run. Reference: POS items and catalog.
  4. Configure barcodes. Maintain standard BC Item References of type Bar Code as the scan source, and run Create Default Barcode Setups if you use weighted or price-embedded formats. Reference: Barcode setup.
  5. Shape the register. Decide which items and categories show on the register, their sort order, favorites, and tile size, including per-terminal overrides. Reference: Register layout and assortment.
  6. Set pricing, discount, and tax policy. Configure discount limits, supervisor thresholds, and reason codes, and choose the tax calculation method. References: Pricing and discounts setup, Taxes.
  7. Configure tenders and settlement. Review the tender-method catalog and per-terminal tender availability, and assign a settlement account (G/L or Bank) per tender method. References: Tender screen and split payments, Per-tender settlement.
  8. Set up card payments. If you take integrated card payments, configure Stripe Terminal (keys, readers, per-terminal reader IDs); use the Simulated provider for demos and training. Reference: Stripe Terminal setup.
  9. Route your printing. Configure Print Destinations for receipts (and kitchen output if you use it), and pair the hardware. References: Printers and hardware setup, Kitchen output.
  10. Lock down security. Set PIN policy, shared-terminal login, auto-lock, and supervisor rights. Reference: Security, PINs, and lock screen.
  11. Configure end of day. Choose consolidation grouping and, if wanted, the scheduled daily close. References: End of day, Consolidated posting.
  12. Verify and test. Open Effective Register Setup for the exact Store/Terminal you will go live on and resolve every Required Setup row, then ring one complete test sale. Reference: Your first sale.

TIP

Complete a full test sale - through tender, receipt, and posting - before adding live card payments or physical hardware. It isolates configuration problems from device problems.

How configuration resolves

Most behavior is layered: a Terminal override wins over its Store, which wins over company-wide POS Setup. Register Profiles follow the same exact precedence - Terminal > Store > POS Setup > Compatibility when no profile is assigned - and a missing or inactive assigned profile fails closed at its level rather than falling through to a lower assignment. Validate a profile before assigning it.

Expected result

When the checklist is done, the Effective Register Setup page explains each visible, hidden, unavailable, or incomplete feature for your Store/Terminal, and one test sale can complete and post without any configuration change mid-basket.

NOTE

Disabled profile capabilities remove the register UI and also reject direct server calls - company policy and permissions always remain stronger than profile choices. Missing prerequisites surface as Required Setup rows instead of runtime errors.

Recovery

If something is misconfigured, use Validate Setup and Effective Register Setup to find it. Deactivate configuration only after unassigning it, and avoid renaming records that carry historical meaning - historical receipts and reports read the values stamped on the sale, not live descriptions.
