Participants and payees
Create participants, map them to salespeople and users, maintain dated payment details, and record transitions, agreements and payee mappings.

A participant is anyone who can receive commission credit or payment: an employee, a contractor, a vendor agent, a partner, a team or an external payee. This page explains how to create participants, connect them to Business Central salespeople and users, set their dated payment details, record agreements and transitions, and redirect payment to another payee.
Before you start
- You need the Bitta Commission Setup Administrator permission set (BAA Comm Setup Admin) to create participants and mappings.
- The salesperson, vendor or employee records you want to link must already exist in Business Central.
- Each active participant counts toward the license payee limit. See Activate a license.
The fastest way to create many participants is the guided setup wizard, the Excel import, or Organization Import Batches. This page describes the individual pages.
Create a participant
- Open Commission Participants and choose New Participant.
- On Commission Participant, fill in the Identity group: number, display name, Participant Type and status. The external identity field lets you reconcile the participant with an upstream system.
- In Defaults, enter the default currency (blank means local currency), the language used for statements and plan documents, and the country or region.
Participant Type is Employee, Contractor, Vendor, Agent, Partner, Team or External Payee. Status is Draft, Active, Leave, Suspended, Terminated or Archived.
TIP
Enter a language code for every participant who should receive plan documents. Plan distribution skips participants without a language.
Map the participant to a salesperson
Commission on native posted sales is attributed through the Sales Earner: Salesperson Mapping. The salesperson on the posted invoice or credit memo decides which participant is credited on that date.
- On the participant card, choose the Salesperson Code.
- Enter Mapping Effective From and, if needed, Mapping Effective To.
- Choose Create Salesperson Mapping.
Use Review Mapping On to check which mapping applies on a given date. To end a mapping, enter End Mapping On (today or later) and End Mapping Reason, then choose End Salesperson Mapping. The original mapping and the end evidence are both kept. A replacement mapping can start the next day. Overlapping mappings are refused.
If a posted sale names a salesperson with no mapping on that date, or with more than one, calculation stops with a clear message so that an administrator can fix the mapping.
Give the participant access (optional)
In Optional BC User Access, choose the BC User Name, the link dates, and Create Primary User Link. The user link controls access only; it does not affect sales attribution. End it with End Link On, End Link Reason and End Primary User Link. Saved links are immutable.
The user also needs the BAA Comm Participant permission set and a commission user scope. See Roles and permissions.
Effective versions and payment details
Dated details live in Participant Effective Versions. Choose Effective Versions on the card, then Add Effective Version to add a new dated version without changing earlier history.
| Field | What it does |
|---|---|
| Effective From, Effective To | The dates the version applies. |
| Earning Status, Participant Type | Status and type during this period. |
| Currency Code | Settlement currency. Blank means local currency. |
| Payment Method | None, Accounts Payable, Payroll Export, Generic Export or Manual. |
| Vendor No., Employee No. | The vendor or employee used when the payment method needs one. |
| Payment Export Code | The stable participant code written to payroll-ready output. |
| Settlement Destination Code | The configured settlement destination. |
| Tax Payment Class. Code | Classification for downstream processing. PAYROLL, EMPLOYEE, W2 and PAYE require the payroll channel; AP, VENDOR, CONTRACTOR and 1099 require accounts payable; MANUAL requires manual payment. |
| Protected Pay Amount | An amount protected from recovery under this version. |
| Active From/To, Compensation From/To | When the participant is active and compensation eligible. |
If a version was saved without a payroll destination, Complete Payroll Mapping adds the payroll export code once, with a reason, as long as no settlement has frozen that period.
Participant transitions
Hires, transfers, leaves, returns and terminations are recorded as governed transitions. Open Participant Transitions (or Transitions on the card) and choose New Transition. The assistant asks for:
- the participant, transition type, date, expected leave end and reason,
- positions, teams and territories the participant leaves or joins,
- credit handling: whether credit from a left position is kept, transferred to a successor or stopped and held for the vacant position,
- final payment and leave proration settings.
You can apply the transition immediately or save it as a draft and choose Apply later. Applying creates dated assignment and version records and an audit entry, without editing history. Cancel Draft discards a draft.
Participant agreements
Commission Participant Agreements records the written plan agreement for a participant and plan version, with a document reference, signed date and hashed acceptance evidence. Choose Record Signature to mark a Draft agreement as signed, and Revoke with a reason instead of deleting. Check Plan Version Coverage lists assigned participants whose country policy requires a signed agreement they do not have.
When a participant's country policy requires an agreement, publishing a plan version checks that the agreement exists.
Payee mappings
Commission Payee Mappings pays one participant's commission to another participant, the payee, for a date range. For example, an agency can receive payment for several agents. Settlements for a pay group with a consolidated payee keep one line per participant but take the payment target from the payee. Mappings cannot be chained.
Review a participant
Commission Participant Overview shows a participant within your organization scope, the version effective today, and links to effective versions, position assignments, plan assignments and team membership. Effective Plan Assignments on the card shows which assignments credit the participant on a date after conflict resolution.
