Period close and reopen

Approve results, work the Commission Period Close Checklist gates, sign off and close a period, freeze periods, apply the closed-period correction policy, and reopen through an approved request.

Closing a commission period locks in its results after everything has been calculated, settled, posted, reconciled and communicated. Bitta Commission does this with a checklist of close gates that are evaluated from the ledgers, signed off by a person against the evidence they saw, and then closed. A closed period can only be reopened through a request that a second user approves.

Before you start

  • Closing, signing off, freezing and reopening require the finance-all security scope.
  • Know your period statuses. See Calendars and periods.
  • Decide your closed-period correction policy (see below) before the first close.

The period lifecycle

Status Meaning
Future The period has not started. Calculation runs are refused until its start date, unless you choose Open Early.
Open Calculation runs can use the period.
Calculating A batch run is active for the period.
Review Batch runs have finished. Results wait for approval.
Approved Finance chose Approve Results. A later calculation returns the period to Review.
Frozen No new calculation runs. Settlements and the close are being finalized.
Settled Every live settlement of the frozen period is paid.
Closed The period is closed.
Reopened An approved reopen is in effect.

Freezing a regular settlement freezes its period automatically. Off-cycle and final pay settlements leave the period as it is. The period pipeline's FINALIZE stage also freezes the period. See Calculation runs and schedules.

Approve the results

  1. Open Commission Periods and select the period in Review.
  2. Choose Approve Results. Every batch and calculation run of the period must be finished.

Use the close checklist

  1. On Commission Periods, select the period and choose Close Checklist. The Commission Period Close Checklist opens.
  2. Choose Evaluate. Every gate is evaluated again from the current ledgers and documents.
  3. Review each gate's Status (Pending, Passed or Failed), Open Count, Open Amount and Detail.
  4. Fix what blocks a failed gate and evaluate again.
  5. Select each passed gate and choose Sign Off. Add a comment in Decision Comment. The sign-off is bound to the gate's current Evidence Hash.
  6. Choose Close Period and confirm.
Gate Passes when
Facts Calculated Every accepted source fact of the period is calculated or skipped, and no calculation run is unfinished.
No Open Exceptions No exception linked to the period is Open, Acknowledged, In Progress or Waiting. See Exceptions and data quality.
No Open Disputes No submitted dispute on a statement of the period is still undecided. See Disputes and holds.
Settlements Frozen No settlement of the period is still Draft, Review, Submitted or Approved.
Accounting Posted Every accounting proposal of the period is posted, cancelled or reversed.
Reconciliation Zero At least one reconciliation exists and none has a difference above its tolerance. See Reconciliation.
Statements Delivered Every statement of the period is delivered. See Participant and manager statements.

NOTE

If the evidence behind a signed-off gate changes, for example a new exception appears, the sign-off is cleared at the next evaluation and the gate needs a new sign-off. Close Period refuses a gate that has not passed or is not signed off against its current evidence.

Freeze a period

While you finalize settlements, you can stop new calculation runs:

  • Freeze Period on the checklist freezes an open or reopened period. New calculation runs are refused. Corrections route through the closed-period policy.
  • Lift Freeze returns a frozen period that is not settled yet to use.

A period that has not started cannot be frozen. An active batch run must finish or be cancelled first.

Closed-period correction policy

Late returns and corrections still arrive after a period is frozen, settled or closed. The Closed Period Correction Mode on Bitta Commission Setup decides what happens:

Mode Effect
Next Open Period The correction posts in a later open period as a prior-period adjustment. The posting date moves to the G/L allowed posting window.
Block, Original If Open, Require Reopen A correction whose original period is closed is refused. Reopen the period through a governed request, or change the policy.

Return policies and correction requests also carry a Timing Policy, and accounting policy settings carry a Closed Period Target. See Returns and corrections and Accounting and posting.

Prior-period adjustments are marked with Prior Period Adjustment and keep their Original Posting Date, so they stay traceable to the period they belong to. A Settled period can still post its own accounting, but new adjustments and corrections for it follow the policy like a Closed period.

Reopen a closed period

  1. On the checklist of the closed period, choose Request Reopen.
  2. On Request Period Reopen, enter a Reason Code, a Reason and the Delta Policy: Manual (you run corrections yourself) or Scheduled Incremental (run schedules recalculate the reopened period automatically).
  3. The request records an impact preview: the completed runs, the earning total, the settlements and settled amount, the posted proposals and posted amount, and the delivered statements of the period.
  4. A different user opens Commission Period Reopen Requests and chooses Approve or Reject (with a comment). You cannot approve your own request.

If the period changes after the impact preview, approval is refused as stale. Reject the request and submit a new one. A period can have only one open reopen request at a time.

Closing advanced model components

Plans with period-level components, such as target bonuses, rankings or pools (ADVANCED_MODELS), are paid by a separate Close Commission Period action for the plan version. It is recorded on Commission Period Closes, with close types Period Close, True-Up and Discretionary. This is different from closing the commission period itself. See Advanced models.

Archive register

Commission Archive Register records archive manifests and restore verifications. Archive Ledger Range writes an in-place manifest for ledger entries not yet covered by an earlier manifest, with a chained hash of the rows. Verify Restore reads the covered rows back, records the restored count, and opens an exception if they do not match. Statement archives are recorded here too.
