Calendars and periods

Create versioned commission calendars and periods, understand every period status and action, and add calculation periods to a plan version.

Commission calendars define how your commission year is divided into periods, and commission periods are the containers that calculation, settlement and accounting work in. This page explains how to create calendars and periods, what each period status means, and how periods relate to the calculation periods on a plan.

Before you start

  • You need the Bitta Commission Setup Administrator permission set (BAA Comm Setup Admin) to create calendars and periods.
  • Some period actions, such as Mark Future, Open Early and Approve Results, also require the Finance (all participants) user scope. See Roles and permissions.

You may not need to create a calendar by hand:

  • Prepare Company Defaults on the Bitta Commission Setup Checklist creates a monthly calendar with the code COMM, the UTC time zone, and one period per month of the current year, coded like 2026-01.
  • The guided setup wizard uses an existing calendar that covers your dates, or creates a new calendar and a period covering the earning dates when you enter a new calendar code.

The company's default calendar is set in Default Calendar Code on Bitta Commission Setup.

Create a calendar

  1. Open Commission Calendars and choose New Calendar.
  2. On New Commission Calendar, fill in the fields:
Field What it does
Code The business code of the calendar.
Description A description of the calendar.
Version No. A positive version number for this calendar definition.
Frequency Weekly, Biweekly, Semimonthly, Monthly, Quarterly, Semiannual, Annual or Custom.
Period Alignment Calendar, Fiscal, Payroll or Custom.
Time Zone The time zone used for period boundaries.
Effective From, Effective To The dates this calendar version applies. Leave Effective To blank for no end date.

Calendars are versioned. Two versions of the same calendar cannot overlap in time. To change a calendar from a date, create a new version that starts after the previous one ends.

Create a period

  1. On Commission Calendars, select the calendar and choose Periods, or open Commission Periods.
  2. Choose New Period.
  3. On New Commission Period, choose the Calendar Code and Calendar Version No., then enter the Code, Description, Start Date and End Date.

A period must fall inside its calendar version and must not overlap another period of the same calendar. A period that has not started yet is created with the status Future.

Period statuses

Status Meaning
Future The period has not started. Calculation runs are refused until its start date is reached or it is opened early. Setup and plan authoring can still prepare it.
Open The period accepts calculation, corrections and setup.
Calculating A batch calculation run for the period is active.
Review The batch runs finished and the results are waiting for approval.
Approved Finance approved the calculated results. A later calculation returns the period to Review.
Frozen The period was frozen by a close or a settlement freeze.
Settled Every settlement of the period is paid.
Closed The period is closed.
Reopened A closed period was reopened through the governed reopen workflow.

Calculation accepts a period that is Open, Reopened, Calculating, Review or Approved, and a Future period once its start date is reached.

Period actions

Action What it does
Mark Future Marks an open period that has not started and has no calculation runs as Future. Requires the finance-all scope.
Open Early Opens a Future period before its start date so calculation runs can use it. Requires the finance-all scope.
Approve Results Approves the calculated results of a period in Review. Every batch and calculation run of the period must be finished. Requires the finance-all scope.
Close Checklist Evaluates the close gates of the period, signs them off and closes it, or requests a governed reopen.
Reopen Requests Shows the governed reopen requests of the period.
Batch Runs Shows the full and incremental batch runs of the period.

NOTE

The Closed Period Correction Mode on Bitta Commission Setup decides how corrections are handled when their original period is closed. The default is Block.

Calculation periods on a plan

A plan version tracks each assigned participant and component through the periods it covers. These rows are called calculation periods.

  1. Open the plan version and choose Calculation Periods. Commission Calculation Periods opens.
  2. Choose Add Calculation Period and select an existing open period. The app creates a tracking row for each assigned participant and component over their applicable dates.

Each row accumulates the component basis (sales amount, gross margin, quantity or document count) for one participant and component in one period. With the Quotas and targets module on, you can also enter a target per row. See Quotas, targets, and attainment.

A plan version needs complete period coverage for its assignments before it can be submitted for approval. The setup wizard and industry templates create these rows for you.

What to check if it goes wrong

Message or symptom What to do
Commission calendar version already exists, or already has a version effective during these dates Use a new version number and dates that do not overlap.
Commission period falls outside the calendar Choose dates inside the calendar version, or create a calendar version that covers them.
Commission period overlaps an existing period Adjust the dates. Existing periods are never changed.
Calculation is refused for a Future period Wait for the start date or choose Open Early.
