Returns and corrections

How returns, unlinked credit memos, replacement sales, manual corrections and governed correction requests add linked delta earnings instead of changing history, and where those deltas land.

Commission has to follow the sale when it is returned, corrected or replaced. Bitta Commission never edits an earning. A return or correction adds a signed delta earning linked to the original, with a difference explanation, and routes it to the right period. This page covers linked returns, unlinked returns, replacement sales, manual corrections and governed correction requests.

Before you start

  • Native capture must be running so credit memos become source facts. See Business Central sales sources.
  • Decide your return policy with finance: what happens to credit memos with no original invoice, and where late corrections go when the original period is closed.
  • Manual corrections and correction requests need a second person to approve. The requester cannot approve their own correction.

Return policies

Open Commission Return Policies and add a policy per plan version, or a company default with a blank plan identity.

Field What it does
Unlinked Return Mode What happens to a credit memo without a linked original invoice: Reject, Credit As Negative Sale to its salesperson, or Manual Link Required.
Timing Policy Where a late return or correction is recognized when its original period is closed: Original Period If Open, Current Open Period or Block.
Match Tolerance Percent How far a credit memo may exceed a candidate invoice line before the candidate is dropped from matching.
Require Same Salesperson Only invoices with the credit memo's salesperson are proposed as matches.
Status Only Active policies are used.

Linked returns

A credit memo is a linked return when the app can trace it to exactly one original sale, for example through the item application of an exact cost reversal. The return keeps the original invoice's salesperson attribution and joins the original's correction chain. A return that cannot be traced to exactly one parent, for example with an ambiguous or missing original, is held instead of guessed.

Review and calculate a linked return

  1. Open Commission Calculation Runs (or the batch item's Calculation Run) for the credit memo.
  2. Choose Preview and Calculate Return. Review Return Before Calculation shows, per participant and component, the Recognized Entitlement, the Projected Entitlement after the return, the Projected Return Delta and the Projected Eligible Delta. Nothing is posted by the preview.
  3. Confirm to calculate. The app writes a negative delta earning linked to the original.

For cumulative and tiered plans, the delta is the difference between what was recognized and what the participant is now entitled to, so a return can move a participant back down a tier correctly.

Check the result

  • Return Evidence on Commission Source Facts opens Commission Return Evidence: the original earning date, correction date, recognized and correct entitlement, the delta and eligible delta, and an evidence hash.
  • Correction Links opens Commission Correction Links, the immutable original-to-delta links, with Prior Period Adjustment and the resolved Posting Date when the original period was closed.
  • Difference Explanation opens Commission Difference Explanations with the cause, old amount, delta, new amount and any settlement that had already paid the original.

Unlinked returns

Open Unlinked Commission Returns to see credit memos that have no linked original invoice.

  • Propose Links scores candidate original invoices on amount, item, salesperson and quantity and opens the Return Matching Workbench.
  • Credit As Negative Sale calculates the credit memo as a negative credit to its salesperson through the normal pipeline, when the return policy allows it.

On the Return Matching Workbench, review each candidate's Match Score and Match Reason Code (exact or partial):

  • Link and Replay links the credit memo to the invoice, replays it as a linked return and prepares the reviewed return calculation.
  • Reject drops the candidate. The credit memo stays in suspense until another candidate is linked.

Replacement sales

When a customer returns goods and is invoiced again, for example for an exchange, you can link the two. Open Commission Replacement Sales and choose Link Replacement. On Link Replacement Sale, enter the Return Source Entry No., the Replacement Source Entry No. and a Reason Code, and choose whether statements show one net line (Net Presentation). Use Refresh after both runs complete to link the earnings.

Manual corrections

Use a manual correction when you must adjust commission that no source document explains.

  1. Open Commission Manual Corrections and create a correction.
  2. On Commission Manual Correction, choose the Action Type: Add, Subtract, Transfer (to another participant), Reclassify (to another component) or Release Pending.
  3. Fill in the Amount (a positive base adjustment, the action decides the sign and the plan model converts it to commission), Effective Date (inside the selected open period), Reason Code, Evidence Reference, participant, plan, version, component and period.
  4. A second user chooses Approve.
  5. Choose Process. The app creates a Manual Adjustment source fact and calculates it through the normal pipeline, so the result has a full trace.

Correction requests

Use a correction request when something upstream changed and many earnings are affected: a plan or rule, the organization, a quota, a backdated source, a credit override, or an erroneous correction run that must be reversed.

  1. Open Commission Correction Requests and create a request. Set the Request Type, Recalculation Mode (Delta Only, Full Replacement or Preview Only), Timing Policy, Effective Date, Reason Code and the affected plan, participant, quota, source or run.
  2. Choose Analyze Impact. The app finds the affected runs and earnings and shows the as-was amounts on Correction Impacts, including whether each period is closed and whether each earning was already settled.
  3. A second user chooses Approve.
  4. Choose Queue Recalculation. The items appear on Commission Recalculation Queue, processed in chunks in order.
  5. Let the job queue process them, or choose Process Now. Failed items can be retried or cancelled before they post.

Change Events on the request shows the tamper-evident change-event log, with before and after hashes and a Verify Hash action. To undo a correction run, choose Reverse Correction Run on Commission Correction Links. The reversal is a new request that appends a new delta. Neither history layer is deleted.

What happens to the money

  • A negative delta first reduces the participant's eligible balance. If it exceeds that balance, it can become recoverable debt. See Clawbacks and recoveries.
  • A delta for an already settled earning goes to a later settlement. The frozen settlement is not changed.
  • A delta whose original period is closed follows the timing policy and posts as a prior-period adjustment. See Period close and reopen.

TIP

Before approving a large correction request, review Correction Impacts with finance. The Settled and Period Closed columns show where the deltas will land.
