Receive and hold vendor stock
Move, adjust and count
Transfer vendor consignment stock between locations and bins, adjust it with reason codes, post quick fixes in the Consignment Journal and run physical counts.
updated: applies-to: 1.0.0.0
While you hold vendor stock, you move it, correct it and count it. All of this happens on consignment documents or in the Consignment Journal and writes Consignment Ledger entries only. Your item ledger, inventory value and general ledger are never touched.
| Task | Use | Entries written |
|---|---|---|
| Move stock to another location or bin | Consignment transfer, or a Reclassification journal line | Transfer (out and in) |
| Add or remove stock with a reason | Consignment adjustment, or a Positive or Negative Adjmt. journal line | Positive Adjmt. or Negative Adjmt. |
| Count stock and post the differences | Physical count | Positive Adjmt. or Negative Adjmt. for the differences only |
| Send unsold stock back | Return to vendor | Return to Vendor. See Returns. |
Each document belongs to one vendor. Search for Consignment Transfers, Consignment Adjustments or Consignment Physical Counts and choose New, or open Consignment Documents to see the open documents of every type.
Get consignment stock
Documents that take stock (adjustments, transfers, returns to vendor and ownership changes) can be filled from the vendor's open stock:
- Fill in the Vendor No. and, optionally, the Location Code on the header.
- Choose Get Consignment Stock.
- Select the entries you need. Qty. to Handle starts at the entry's Remaining Quantity; lower it to take only part of an entry, for example 3 of 20 units. A serial number is taken whole, so enter 0 or 1.
- Choose OK. The selected serial numbers and lots of one item, variant, location, bin and vendor go on one line with their total quantity; each of them becomes an item tracking line of that line, pointing at its entry. Each selected entry of an untracked item becomes a line of its own with its Applies-to Entry. On an adjustment the quantity is negative. A selected entry with Qty. to Handle 0 is not taken.
NOTE
Qty. to Handle is in the item's base unit of measure and cannot be more than the remaining quantity. Only the selected rows are taken.
A line that takes stock without an Applies-to Entry uses the oldest matching stock with exactly the same vendor, variant, location, bin, serial, lot and package. Name the serials or lots of tracked stock on Item Tracking Lines (Select Entries there lists the vendor's open stock) and the bin of binned stock, or use Get Consignment Stock.
Post part of a document
Transfers, returns to vendor and ownership changes can be posted in parts, as a receipt can. Their lines show Qty. to Handle and Quantity Handled:
- Lower Qty. to Handle on the line to what you post now. For a tracked item, set Qty. to Handle (Base) on Item Tracking Lines for the serial numbers and lots that go now; their total must equal the line's Qty. to Handle.
- Choose Post. Only that part is posted, on a posted document of its own.
- The document stays open with the rest: Quantity Handled shows what is posted, and Qty. to Handle proposes the rest. The last posting deletes the document.
Transfer stock
- Search for Consignment Transfers and choose New.
- Enter the Vendor No., the from Location Code and the To Location Code. New lines take both locations.
- Add lines, or choose Get Consignment Stock. On each line, check Bin Code (from) and To Bin Code (to). For a tracked item, name the serial numbers and lots that move on Item Tracking Lines.
- Choose Post. Both legs of the transfer are posted on the same posting date, each serial and lot keeping its number. To move only part now, see Post part of a document.
The stock keeps its original Received Date, so aging does not restart when you move it.
Choose Print on the transfer, before or after posting, for the Consignment Transfer Note: the from and to location and bin, the quantity and unit of every line, with the variant and the serial, lot and package numbers of the line on a detail line under it, with signature blocks for the person who moved the stock and the person who received it. Before posting it is marked Not posted. No. of Copies prints extra copies. The report uses the usage Consignment Transfer Note on Report Selection - Purchase.
Adjust stock
- Search for Consignment Adjustments and choose New.
- Enter the Vendor No., Location Code and a Reason Code. New lines take the reason code.
- Enter a positive Quantity to add stock, for example units the vendor sent without paperwork, or a negative quantity to remove stock, for example damaged units. For a negative line, choose the entry in Applies-to Entry, name the serials or lots on Item Tracking Lines, or use Get Consignment Stock.
- Choose Post.
Only adjustments accept negative quantities. On a positive line of a tracked item, enter the serials and lots on Item Tracking Lines, or use Assign Serial Nos. or Assign Lot No. as on a receipt. The sign of a line with item tracking lines cannot change; delete its item tracking lines first.
Consignment journal
The Consignment Journal is a quick grid for small corrections, like the item journal and item reclassification journal are for your own stock.
- Search for Consignment Journal. Choose the Batch Name.
- On each line, enter the Posting Date, Entry Type, Vendor No., Item No., Location Code, Bin Code and Quantity. The quantity is always positive: the entry type gives the direction.
- Positive Adjmt. adds stock.
- Negative Adjmt. removes stock, from the Applies-to Entry or the oldest matching stock.
- Reclassification moves stock to the New Location Code and New Bin Code.
- For a tracked item, choose Line > Item Tracking Lines (Ctrl+Alt+I) and enter the serial numbers and lots of the line, as on an item journal line. One journal line can hold several serials and lots.
- Choose Preview Posting to check the entries, then Post. Posting refuses a line whose item tracking lines do not add up to its quantity. The posted lines are removed from the batch.
Journal lines that still carry their own Serial No. or Lot No. post as before; Item Tracking Lines is blocked on them until you clear those fields.
Document No. is proposed from the batch's No. Series (CONS-JNL for the DEFAULT batch), and new lines take the batch's Reason Code. Use Line > Consignment Ledger Entries to see the entries of the item on the line.
NOTE
Use documents instead of the journal when the work needs a release step, a printout or a posted document in history. The journal leaves only the ledger entries.
Count consignment stock
Count Consignment Stock (on Consignment Physical Counts, the Location Card and the Consignment menu) asks only for the location and opens the count it uses, already filled: a physical count at a vendor consignment location, a site count at a customer site, and the Physical Inventory Journal (or the warehouse physical inventory journal at a directed location) at a Warehouse Mode location. Count with a scanner or a phone with Scan Lines. See Scan and count.
Physical count
A physical count compares what the Consignment Ledger expects with what you find on the shelf, and posts only the differences.
- Search for Consignment Physical Counts and choose New. Enter the Vendor No. A count covers one vendor.
- Choose Calculate Expected. In the dialog, the Vendor No. is filled in. Set the Location Code, an Item Filter and a Bin Filter, or leave them empty to count everything, and choose OK.
- The count gets one line per item, variant and bin, with Qty. Expected (Base). For a tracked item, every expected serial number and lot is a row of the line's item tracking. Qty. Counted (Base) starts at the expected quantity.
- Choose Print Count Sheet for the counters. It lists the expected serial numbers and lots of each line. Switch off Show Expected Quantities for a blind count; the expected serials and lots are then left out too.
- Enter what was found:
- For an untracked item, enter it in Qty. Counted (Base) on the line.
- For a tracked item, choose Line > Item Tracking > Item Tracking Lines (Ctrl+Alt+I). Count Item Tracking Lines opens with a row per expected serial number and lot, showing Qty. Expected (Base) and Qty. Counted (Base). Type the counted quantity of each row; count a missing unit 0. Add a unit you found that was not expected as a new row with its Serial No. or Lot No. A serial number is counted 0 or 1. Close the page: the line's Qty. Counted (Base) is the total.
- For an item that was not expected at all, add a line with the item and bin, then enter its serials and lots the same way.
- Or choose Scan Lines and scan the bins, items, serial numbers and lots you find; see Scan and count.
- Check Difference (Base), which is highlighted when counted and expected differ, on the line and on Count Item Tracking Lines, then choose Post.
On a tracked line, entering 0 in Qty. Counted (Base) on the line counts every serial and lot 0. Any other counted total must be entered per serial or lot on Count Item Tracking Lines.
Posting writes a Positive Adjmt. or Negative Adjmt. entry for each difference, per serial number and lot. The posted count keeps every line, including lines without a difference, as an audit record; Item Tracking Lines on a posted line shows its serials and lots.
Open the posted count in Posted Consignment Documents and choose Print for the Consignment Count Result: per line the expected, counted and difference quantity, with the serial numbers and lots of the line (each lot, and each serial number that was not found as expected, with its expected and counted quantity), and Adjusted in the Disposition column for every line that posted an adjustment, with totals and signature blocks. With Show Values, the unit cost and the Value of Difference (LCY) print too (informational for vendor stock); without it, those columns are left out. Only Lines with Differences leaves out the lines that match. Choose Print on the open count for a preliminary result marked Not posted. The report uses the usage Consignment Count Result on Report Selection - Purchase.
When stock changed after you calculated
If a consignment entry for a counted item, variant, location, bin and vendor is posted after you calculated, posting stops with a message that the stock changed. Choose Recalculate Expected in the message (it opens the Calculate Expected dialog), or Calculate Expected on the page, check the counted quantities and post again. If the count is released, the message tells you to reopen it first. Counted quantities that you changed are kept.
NOTE
A physical count cannot use a Warehouse Mode location: the message offers Count Consignment Stock, which opens the physical inventory journal there. Counts are entered in the base unit of measure. Recalculating from the message uses the count's vendor and location only, not the item or bin filter you used the first time. The extra lines start with counted equal to expected, so they post nothing.
