Find entries and reports
Find entries and reports
Find consignment entries from posted documents, Find entries, serial and lot search and posting previews, and run the stock, aging, margin and trace reports.
updated: applies-to: 1.0.0.0
Every movement of vendor stock is a Consignment Ledger entry: receipts, adjustments, transfers, counts, sales, customer returns, returns to the vendor and ownership changes. You can reach these entries from wherever you start, as you would reach item ledger entries.
Consignment Ledger Entries
Search for Consignment Ledger Entries, or choose Consignment Ledger Entries on any of these pages:
| Page | Shows the entries of |
|---|---|
| Item card, item list | The item |
| Vendor card, vendor list | The vendor's consignment stock |
| Sales order | The stock that the order's consignment lines sold |
| Purchase order | The stock that the purchase order bought, by a sale or an ownership change |
| Posted sales shipment, posted purchase receipt | The stock that the shipment sold or the receipt bought |
| Posted sales invoice, posted purchase invoice | The stock that the invoice billed to the customer or settled with the vendor |
| Posted consignment document lines | The entries the line posted |
| Consignment Journal lines | The item on the line |
Each entry shows the Posting Date, Entry Type, Document Type, Document No., vendor, item, variant, serial, lot and package number, then Quantity and Remaining Quantity, the location, bin, Open and Received Date. More columns, such as Description, Expiration Date, Customer No., Sales Order No., Purchase Order No., Applies-to Entry, Correction, Unit Cost (LCY) and Cost Amount (LCY), can be shown with Personalize.
Find entries
Choose Find entries on a posted sales shipment, posted purchase receipt, posted sales invoice, posted purchase invoice or posted consignment document. The result lists Consignment Ledger Entry and, for consignment documents, Posted Consignment Document, next to the native entries. Choose the line to open them.
Invoices are linked to consignment entries through their value entries, so a sales invoice finds the units it billed and a purchase invoice finds the units it settled.
NOTE
When you search Find entries by posting date only, without a document number, consignment entries are matched on their own document number only. Enter the document number to find entries through receipts and invoices.
Serial and lot search
In Find entries, search by serial number, lot number or package number. Consignment entries with that number are listed with the native item tracking results, so you can trace a serial from the vendor's receipt to the customer's shipment.
For a recall, the Consignment Lot and Serial Trace report lists the consignment and item ledger entries of a number on one sheet, with the customers. See Analysis reports.
Posting preview
Preview Posting on a sales order, a purchase order, a consignment document or the Consignment Journal lists the Consignment Ledger Entry rows that posting will create.
Posted consignment documents
Search for Posted Consignment Documents. The list shows every posted receipt, adjustment, transfer, count, return and ownership change, and the posted usage reports and site counts of customers. Open a document to see its lines, then:
- Print prints it again with the report of its type: the Consignment Receipt Note for receipts, adjustments and ownership changes, the Consignment Return Note for returns to the vendor, the Consignment Transfer Note for transfers, the Consignment Count Result for physical counts and site counts, and the Consignment Usage Confirmation for usage reports.
- Send emails the return note to the vendor, or the usage confirmation or site count result to the customer, with their document sending profile.
- Find entries finds everything posted with the same document number and date.
- Line > Consignment Ledger Entries shows the entries of one line.
Posted physical counts keep the expected and counted quantity of every line, including lines without a difference.

| Consignment Settlement Summary | Settlement Summary on a consignment purchase invoice, posted or not, the settlement page and the vendor card | Every unit or lot a settlement invoice pays the vendor for. See Settle with vendors |
| Consignment Stock Confirmation | Consignment Stock Confirmation on the vendor or customer card and list | The year-end letter asking a vendor (their stock you hold) or a customer (your stock at their sites) to confirm the stock at a date |
| Consignment Physical Count Sheet | Print Count Sheet on a physical count or a site count | The lines to count, with a column for the counted quantity. It prints as the Consignment Physical Count Sheet with the vendor and location, or as the Consignment Site Count Sheet with the customer and site. Switch off Show Expected Quantities for a blind count |
| Consignment Stock Report | Search for it, or Consignment Stock Report on the role center or the Consignment Stock page | Vendor stock at a date (As of Date) by vendor, location, item and bin, with the variant, lot, serial and expiry on a detail line, the committed and available quantity, whether the location is in Warehouse Mode, and the informational value. Filter the stock lines on Vendor No., Location Code, Item No., Variant Code, Bin Code, Lot No. and Serial No., and add any other field with + Filter. Choose the Excel layout to analyze it |
| Consignment Aging and Expiry | Search for it, or from the role center or the Consignment Stock page | Open vendor stock in four age buckets since receipt, with expired stock, stock that expires soon, and stock older than the vendor's own aging period. Filter the entries on Vendor No., Location Code, Item No., Variant Code, Lot No. and Serial No.. Choose the Excel layout to analyze it |
| Consignment Customer Statement | Consignment Statement on the customer card | Stock at the customer's sites per item for a period. The Word layout is the statement to send; the Excel layout is the same data for analysis |
| Consignment Vendor Statement | See Settle with vendors | What happened to the vendor's stock in a period |
Consignment Aging and Expiry options
| Option | Meaning |
|---|---|
| Aging Date | The date at which age and days to expiry are measured |
| Period Length | The size of each age bucket as a date formula, as on Aged Accounts Payable: 30D gives 0-30, 31-60, 61-90 and over 90 days; 1M gives calendar months back from the aging date |
| Expires Within (Days) | How many days after the aging date stock counts as expiring soon. Expired stock is marked too |
| Only Expiring Stock | Include only stock that has expired or expires within that number of days |
The Beyond Vendor Aging Period column marks stock older than the vendor's Aging Period, with the vendor's Aging Action next to it.
NOTE
The aging report always ages the stock that is open now. The aging date only sets the day from which age and expiry are measured; it is not a stock position at a past date. The request page says so under What the report shows, and the report header prints Stock: open now. Use the Consignment Stock Report with an As of Date for a past date.
Values on the stock reports are informational: consignment stock belongs to the vendor and is not part of your inventory value.
Analysis reports
These reports open in Excel, one row per entry or line, so you can filter, total and pivot them. Search for them, or find them in the Settlement & Reports group of the Consignment menu on the role centers.
| Report | Also on | What it shows |
|---|---|---|
| Consignment Unsettled Liability | Vendor card (Report > Consignment), Consignment Settlement page, vendor FactBox | At an As of Date, for example the month end, the units sold or bought out that the vendor has not invoiced yet and the customer returns not credited yet, at the expected settlement price, with the days outstanding and the unposted invoice that already holds the line. Invoices posted after the date count as not posted yet, so the report gives the accrual of a past month end too |
| Consignment Sales and Margin | Vendor, customer and item cards | Consignment sales and customer returns of a period: quantity, sales amount, the vendor's cost (the settlement price), margin and margin %, and whether the vendor has invoiced it. Filter on vendor, item, customer and location |
| Consignment Turnover Analysis | Vendor and item cards, Consignment Stock page | Per vendor, item and location for a period: stock at the start and the end, average stock, units sold, turnover, days on hand, days since the last sale, the stock older than the vendor's aging period, and Slow Mover when stock has not sold within No Sale Within (Days) |
| Consignment Lot and Serial Trace | Consignment Ledger Entries (Lot and Serial Trace), item card, lot and serial number information cards | Every consignment ledger entry and item ledger entry of a lot, serial or package number: receipt, moves, sales with the customer, customer returns, ownership change, drop shipments and customer sites, and where the remaining units are now (Held Now: vendor stock, customer site or own stock). With Show Customers Only it is the contact list of a recall |
| Consignment Site Stock | Customer card (Report > Consignment), Consignment Sites FactBox | Your stock at customer sites at an As of Date by customer, site, item, lot and serial number, with its value at cost, the last date stock came to the site, the expiry, and the last usage report and site count of the site. Expires Within (Days) keeps only stock that expires soon |
NOTE
Sales and Margin takes the invoiced sales amount when the sale is invoiced, and the sales amount of the shipment until then. The vendor cost of a Warehouse Mode sale is the consignment item charge once it is posted; a Warehouse Mode customer return shows no vendor cost.
Your own report layouts
The document reports have report selection usages, so you can choose your own report or Word layout and email them with document sending profiles:
- Report Selection - Purchase: Consignment Receipt Note, Consignment Vendor Statement, Consignment Settlement Summary, Consignment Return Note, Consignment Count Result, Consignment Vendor Stock Confirmation, Consignment Transfer Note.
- Report Selection - Sales: Consignment Customer Statement, Consignment Site Count Result, Consignment Usage Confirmation, Consignment Site Delivery Note, Consignment Customer Stock Confirmation.
A usage that has no report yet gets the standard consignment report the first time you print or send it. The document reports come with a Word layout that you can copy and edit in Report Layouts, for example to add your logo or change the ownership clause.
