Email statements
E-mail approved statements as PDF from the statement list or a settlement, with a logged send per statement, Word layouts and the new statement line values.
updated: applies-to: 1.2.0.0
Bitta Commission can e-mail statements as PDF files, one by one or for a whole settlement, and logs every attempt against the frozen statement version. This page shows you how to set up the statement e-mail, send it, read the e-mail log, choose a Word layout for statements and remittance advices, and read the new statement line values. It also covers the remittance report for agents paid through a firm.
Before you start
- Statements are generated, approved and made available as described in Earnings statements. E-mail is an extra delivery step. It does not replace approval.
- Set up an e-mail account in Business Central (Set Up Email) and assign it to the Commission Statement scenario in Email Scenario Assignment. Without an e-mail account, the send is skipped and logged.
- Each participant needs an e-mail address on the linked salesperson, vendor or user. The app uses the salesperson's e-mail first, then the vendor's, then the user's contact e-mail and then the user's authentication e-mail.
- Commission Statement E-Mail Setup needs the Bitta Commission Setup Administrator permission set. Commission Statement E-Mail Log needs Bitta Commission Processor or Bitta Commission Setup Administrator, and shows only the participants in your scope. See Permission sets.
Set up the statement e-mail
Search for Commission Statement E-Mail Setup.
| Field | What it does |
|---|---|
| Subject Template | The e-mail subject. The default is "Commission statement {StatementNo} for {PeriodCode}". |
| Body Template | The e-mail body. A backslash starts a new line. |
| CC, BCC | Addresses that receive a copy or a blind copy of every statement e-mail, separated by semicolons. |
| Attach Remittance Advice | When statements are sent from a settlement, also attach the participant's own remittance advice. On by default. |
Placeholders in braces are replaced for each statement: {ParticipantName}, {ParticipantNo}, {StatementNo}, {VersionNo}, {PeriodCode}, {SettledAmount}, {CurrencyCode} and {CompanyName}.
Placeholders in the subject and body are filled in for each statement.
Send statements by e-mail
You can send from two places:
- Commission Statements: select one or more statements and choose Send by E-Mail. Each selected statement is sent as a PDF to its participant.
- Commission Settlement: choose Send Statements by E-Mail to send every participant of the settlement their current statement, with their own remittance advice attached when the setup asks for it. If the settlement has no generated statement yet, the app asks you to generate the statements first (BAA-STM-EMAIL-NONE).
Only deliverable statements are sent: statements that are Approved, Delivered, Accepted, Disputed or Paid. Any other statement, for example one that is still Generated or Approval Pending, or one that was Superseded or Corrected, is not sent and is logged as skipped with its status. When the send finishes, a message tells you how many statements were queued and how many were not sent.
Messages go to the Business Central e-mail outbox under the Commission Statement scenario and are sent from there, so they do not leave the instant you choose the action. Check Email Outbox if a message does not arrive.
NOTE
Sending by e-mail does not change the statement status. Choose Make available in Business Central on the approved statement to deliver it and archive the copy.
The e-mail log
Every attempt is logged against the frozen statement version on Commission Statement E-Mail Log. Open it with E-Mail Log on Commission Statements for the selected statement, or on Commission Statement E-Mail Setup for all statements. The log shows:
| Field | What it shows |
|---|---|
| Status | QUEUED when the e-mail went to the outbox, SKIPPED when it was not sent, or FAILED. |
| Status Detail | Why the e-mail was skipped or what happened, for example the statement is not deliverable yet, the participant has no e-mail address, no e-mail account is set up, the participant is outside your scope, or the statement PDF could not be created. |
| Recipient, CC, Subject | Where and what was sent. |
| Attachment Count | How many PDFs were attached: the statement and, from a settlement, the remittance advice. |
| Statement Hash | The hash of the frozen statement that was sent. |
Choose a statement layout
The Commission Statement and Commission Remittance Advice reports now have Word layouts in Letter and A4 beside the print layout:
- Commission statement (Word, Letter) and Commission statement (Word, A4)
- Bitta Commission remittance advice (Word, Letter) and Bitta Commission remittance advice (Word, A4)
The print layout stays the default. To use a Word layout, open Report Layouts, select the report, choose the Word layout and set it as default, or copy it and edit it in Word to add your logo and wording. The e-mailed PDF uses the layout that is selected for the report.
What a statement line shows
Statement lines carry five new values, printed on the statement:
| Field | Printed as | What it shows |
|---|---|---|
| Source Document No. | Document | The posted document behind the line. |
| Rate Source | Rate source | Where the rate of the line came from, such as the rate table and its matched value. See Why this rate?. |
| CM Netted Amount | Credit memos netted | The commission of credit memos netted against the document for this participant. See Credit memo netting. |
| Payable Amount | Payable | The amount this line makes payable. |
| Paid Amount | Paid earlier | The commission of the same document already paid on earlier statements. |
These values are part of the statement snapshot and its hash.
Agents paid through a firm
Commission Agent Remittance groups settlement lines by the payee they are paid to, for example an agent firm or vendor, with a total per payee. Filter it on the settlement, pay group or period and run it from Tell Me. See Pay through Payables.
